GDPR Compliance
Our commitment to data protection and your rightsLast updated: 2026-10-06
Our Commitment
AI Interview Analyzer is designed with privacy by design and privacy by default principles. We are fully committed to complying with the EU General Data Protection Regulation (GDPR, Regulation 2016/679) and all applicable national data protection laws. Data protection is not an afterthought - it is built into every aspect of our platform.
GDPR Principles We Follow
We adhere to all GDPR data processing principles
- Lawfulness, fairness, and transparency - we process data lawfully and are transparent about how
- Purpose limitation - data is collected for specific, explicit purposes only
- Data minimization - we collect only what is necessary
- Accuracy - we take steps to keep data accurate and up to date
- Storage limitation - data is kept only as long as needed
- Integrity and confidentiality - we implement appropriate security measures
- Accountability - we can demonstrate compliance with all principles.
Candidate Data Protection
Interview candidates receive special protection
- Explicit consent is required before any recording or AI analysis - candidates receive an email explaining exactly what will happen with their data
- Candidates can decline consent, and the interview proceeds without AI analysis
- Candidates can withdraw consent at any time and request deletion of all their data
- The mandatory consent flow records timestamp, IP address, and privacy policy version for audit purposes
- No recording can start without verified consent.
Data Subject Rights
We support all GDPR data subject rights
- Right to Access (Art. 15) - request a copy of all your personal data
- Right to Rectification (Art. 16) - correct inaccurate data
- Right to Erasure (Art. 17) - 'right to be forgotten'
- Right to Restriction (Art. 18) - limit processing of your data
- Right to Portability (Art. 20) - receive data in machine-readable format
- Right to Object (Art. 21) - object to certain processing
- Right not to be subject to automated decision-making (Art. 22) - our AI is a support tool, final decisions are always made by humans.
Data Protection Impact Assessment
We have conducted a Data Protection Impact Assessment (DPIA) for our interview analysis processing, as required by GDPR Art. 35 for high-risk processing. The DPIA covers: the nature and purpose of processing, assessment of necessity and proportionality, risk identification and mitigation measures, and safeguards to protect data subjects' rights.
Data Breach Response
In the event of a personal data breach
- We will notify the relevant Data Protection Authority within 72 hours of becoming aware (Art. 33 GDPR)
- If the breach poses a high risk to individuals, we will notify affected data subjects without undue delay (Art. 34 GDPR)
- We maintain a breach register documenting all incidents
- We have incident response procedures in place to contain, assess, and remediate breaches.
International Transfers
Production application records, document storage and audio storage are hosted in Azure West Europe. GPT-6 Luna, GPT-6 Sol and GPT-6.1 Sol use Azure EU Data Zone deployments. This is Microsoft's defined EU Data Boundary, which can include EFTA locations; it is not a promise of processing in one country or exclusively in EU member states. GPT-6 Astra uses Global Standard and may process prompts and responses outside Europe. The Azure account location in Sweden Central does not make a Global deployment EU-only.
Soniox is offered only through its European Union (EU) content region for real-time assistance and a separate final transcription of the recording. The US route is not offered. EU use requires a region-specific project, credential and matching EU endpoints, with no US fallback. Account metadata, usage and billing information can be processed outside the Soniox EU content region.
Azure Speech resources are in West Europe and North Europe. A processing route must be assessed end to end, including audio, final transcription, prompts, feedback and operational metadata. Before a transfer outside the EEA, an applicable Chapter V mechanism and required assessments must be in place. Soniox EU content residency does not make the whole platform EU-only: Azure Global inference and provider system metadata have separate processing boundaries. Supplier changes follow the DPA notice process; revised public documentation does not replace already accepted terms by itself.
